Terms of Service
Last updated 10 October 2026 · Effective 10 October 2026
These terms are the agreement between you and us about using FlexDays. By creating a workspace, signing in, or using FlexDays, you accept them. If you don't, please don't use the service.
1. Who we are
FlexDays is built and operated by Adel Ashraf Hamouda and Ahmed Tarek, trading together as beanvoid ("we", "us"), a product studio based in Egypt (see beanvoid.com). Contact: support@beanvoid.com, where we will also give a postal address on request.
These terms are the agreement between us and the company that signs up for FlexDays (the "customer", "you"). The person who accepts them on the company's behalf confirms they are allowed to do so. Employees who use FlexDays because their employer invited them must also follow sections 4 and 6.
2. What FlexDays is
FlexDays is an HR app, available as a web portal and as apps for iOS and Android. It covers leave requests, approvals and balances, timesheets and time tracking, working schedules, public holidays, employee onboarding, notifications, and company announcements and events. We are adding features over time, and some may be marked as beta or early access.
3. What it is not
FlexDays is a record-keeping and workflow tool. It is not legal, HR, payroll, tax or employment advice. In particular:
- Your policies are your responsibility. Leave allowances, accrual and carry-over rules, working schedules and approval chains are set up by you. FlexDays calculates from what you configure, and you are responsible for making sure those settings comply with the employment law that applies to you.
- Public holidays are provided for convenience. We load holiday lists from public sources and they can change by official announcement. Check them and adjust them in your settings where needed.
- Check figures that matter. Balances, timesheets and reports are only as accurate as the data entered. Check them before you rely on them, for example for payroll or final settlements.
4. Accounts and users
- Users must be at least 16. Each user needs their own account, with accurate details. Don't share accounts.
- You decide who is invited to your workspace and what role each person has (administrator, manager, employee). You are responsible for your users and for what they do in FlexDays.
- Keep passwords secure. If you think an account has been compromised, change the password and tell us at once.
- When someone leaves your company, offboard them in FlexDays so they lose access.
5. Plans, prices and payment
- Free trial and free plan. Every company starts with a 30-day free trial. Companies with 10 employees or fewer can keep using FlexDays free, with no time limit.
- Paid plan. Companies with more than 10 employees need the paid plan, priced at $2 per employee per month for employees above the first 10, as shown on our pricing and at checkout. The price at checkout is the one that applies.
- Paddle. Our orders are processed by our online reseller Paddle.com, the Merchant of Record for all our orders. Paddle takes payment, adds any sales tax or VAT that applies, issues invoices and handles refunds. Paddle's buyer terms also apply to your purchase.
- Renewal. Subscriptions are billed monthly and renew automatically until you cancel. Charges follow the number of employees in your workspace.
- Price changes. If we change prices, we will tell you at least 30 days before the change affects you, and you can cancel before it does.
- Unpaid accounts. If a company with more than 10 employees has no active paid plan, its workspace may become read-only until billing is set up. We do not delete your data because a payment failed.
6. Cancelling and refunds
You can cancel at any time from Settings → Subscription. Your plan stays active until the end of the period you paid for. You can request a full refund of any charge within 14 days of being charged. The details are in our Refund policy, which forms part of these terms.
7. Your data
- It stays yours. You own the data you and your users put into FlexDays. You give us only the permission we need to provide the service: to store, process, back up and display it to the right people in your workspace.
- You are the controller. For your employees' personal data, you decide what is recorded and why, and we process it on your instructions as described in our Privacy Policy. You are responsible for having a lawful basis to use FlexDays for your employees and for telling them how their data is used.
- Only what you need. Don't put more personal or sensitive information into FlexDays than you need, for example detailed medical information in a leave reason.
- Data processing agreement. If you need a data processing agreement for your own compliance, email support@beanvoid.com.
- When you leave. When you close your account, you can ask us for a copy of your data and then to delete it. We delete or anonymise it within 90 days of your request, except anything the law requires us to keep.
8. Acceptable use
Don't do any of this, and don't let your users do it:
- Break the law, or use FlexDays to discriminate against, harass or unlawfully monitor anyone.
- Add people's data without the right to, or invite people who should not have access.
- Try to access another company's data or another user's account, or probe, scan or attack the service or its infrastructure.
- Use automated means to overload, scrape or work around the limits and protections of the service.
- Upload malware, or content that is unlawful, offensive, or infringes someone's rights, including in announcements, events and attachments.
- Copy, resell or reverse-engineer FlexDays, except where the law says you may.
9. Our property
FlexDays itself, including its software, design, name and logo, belongs to us. If you send us feedback or ideas, we may use them to improve FlexDays without owing you anything.
10. Availability and changes
We work hard to keep FlexDays running and correct, but we don't promise it will always be available without interruption, for example during maintenance or problems with our providers. We may change, improve or remove features. If we plan to stop the service entirely, we will give at least 60 days' notice so you can export what you need.
We may update these terms. If a change is material, we will tell administrators by email or in the app before it takes effect, and the date above will change. Continuing to use FlexDays after that means you accept the new terms. If you don't, you can cancel.
11. Suspension and ending the agreement
You can stop using FlexDays at any time. We may suspend or close a workspace that breaks these terms, puts the service or other customers at risk, or where the law requires it. Where it is reasonable, we will warn you first and give you a chance to fix the problem. Sections 7, 9, 12, 13, 14 and 15 continue to apply after the agreement ends.
12. Disclaimer
FlexDays is provided "as is" and "as available". To the extent the law allows, we don't give any warranty that it will be uninterrupted or error-free, or that it will meet every requirement of your business or local law.
13. Liability
Nothing in these terms limits liability that cannot be limited by law, such as liability for fraud. Subject to that, we are not liable for indirect or consequential loss, lost profits, lost data, or decisions you make based on figures in FlexDays. Our total liability is limited to the greater of the amount you paid us for FlexDays in the 12 months before the claim, or 100 US dollars.
To the extent the law allows, you agree to cover our reasonable costs, including legal fees, if a third party (including one of your employees) brings a claim against us because of the data you put into FlexDays without the right to, or because of your breach of these terms.
14. Governing law and contact
These terms are governed by the laws of the Arab Republic of Egypt, and the competent Egyptian courts have jurisdiction over any dispute. This does not take away any protection that mandatory law in your own country gives you.
Questions about these terms: support@beanvoid.com.
15. General
- Entire agreement. These terms, the Privacy Policy and the Refund policy are the whole agreement between you and us about FlexDays.
- Severability. If a court finds any part of these terms invalid, that part is replaced by a valid one as close to its intent as possible, and the rest stays in force.
- No waiver. If we don't enforce a term straight away, we can still enforce it later.
- Transfer. You may not transfer this agreement without our consent. We may transfer it as part of a sale or merger of FlexDays or beanvoid, and we will tell you if we do.
